Managing Walk-Ins

By the end of this guide, you'll know how to claim clients from the queue, set wait times, assign stations, and mark sessions complete.

Before You Start

  • At least one artist added to your studio
  • The artist needs to be logged in (or an admin can manage the queue from the dashboard)

Step 1: Open the Queue

Artists access the queue from their own dashboard at the Queue page. When they log in, this is their main view.

The queue shows all waiting walk-ins, filtered by the artist's styles. An artist who does Traditional and Japanese will only see clients who requested those styles.

To see all entries regardless of style, check the "Show all requests" checkbox at the top.

Step 2: Set Your Availability

At the top of the queue page, there's an Availability toggle:

  • Green (Available) — You're open for walk-ins. Your name appears on the kiosk.
  • Red (Unavailable) — You're busy or off. You can still view the queue but clients won't be matched to you.

Availability automatically resets after 14 hours, so you don't need to remember to toggle it off at the end of the day.

Step 3: Claim a Client

  1. Find the client you want in the queue list. Each card shows the client's name, requested styles, placement, and budget.
  2. Click Claim on their card.
  3. A dialog opens with the client's details. Choose a timing:
    • Now — Ready for them immediately
    • 15 minutes / 30 minutes / 1 hour / 2 hours / 3 hours — How long until you're ready
    • Book for Later — If the client opted into SMS and you have bookings enabled, this sends them your booking link instead
  4. Optionally type a station (e.g., "Chair 3", "Back Room").
  5. Click Confirm Claim.

The client immediately appears in your My Clients section at the top of the queue. If SMS is enabled and the client gave their phone number, they get a text notification.

Step 4: Manage Your Active Clients

Your claimed clients appear in a green My Clients section at the top of the queue page. For each client, you can:

  • Return — Put them back in the queue (if you can't take them after all)
  • Transfer — Hand them off to another artist in the studio
  • Done — Mark the session as complete (opens the payment dialog)

Step 5: Mark a Session Complete

  1. Click Done on the client's card.
  2. Enter the service total (the price of the tattoo).
  3. If the client paid a deposit during booking, it's automatically deducted.
  4. Select the payment method (cash, card, or Venmo).
  5. Click Complete.

The client is removed from the queue and the session is recorded in your analytics.

Medical Alerts

If your studio has digital waivers enabled and a client flagged any medical concerns (allergies, medications, skin conditions, etc.), you'll see a red medical alert badge on their queue card. Click it to see the full details.

Troubleshooting

  • Queue not showing any entries? Check the "Show all requests" checkbox. You may only be seeing entries that match your styles — if no clients requested your style, the list will be empty.
  • Someone else claimed the client? Only one artist can claim a client at a time. If another artist claims them first, the entry disappears from your queue.
  • Client didn't get the SMS? Check that SMS is enabled for your studio (Settings → SMS) and that the client entered their phone number and opted in during check-in.
